Privacy Policy

This Privacy Policy explains how Rasmussen Systems ("we," "us," "our") collects, uses, discloses, and safeguards information when you visit our website, contact us, or use software we build and host for you (the "Services"). By using the Services, you agree to this Policy.

1. Information we collect

  • Contact information you submit through forms (name, email, company, phone, message).
  • Account and business data you enter into custom software we build for you (clients, jobs, estimates, invoices, schedules, notes).
  • Payment data processed by Stripe. We do not store full card numbers on our servers.
  • QuickBooks data you authorize us to access (see Section 4).
  • SMS / messaging data when you opt in to text notifications (see Section 5).
  • Technical data such as IP address, browser type, pages visited, and timestamps for security and analytics.

2. How we use information

  • To provide, maintain, and improve the Services.
  • To respond to inquiries and provide customer support.
  • To send transactional messages (invoices, receipts, job updates).
  • To detect and prevent fraud, abuse, and security incidents.
  • To comply with legal obligations.

We do not sell your personal information. We do not use your data for third-party advertising.

3. How we share information

We share information only with:

  • Service providers that host and operate the Services under contract (e.g., cloud hosting, database, email delivery, Stripe for payments, Twilio for SMS).
  • Integrations you authorize, such as Intuit QuickBooks Online.
  • Legal authorities when required by law, court order, or to protect rights and safety.

4. QuickBooks / Intuit data

When you connect QuickBooks Online, we access only the data needed to perform the features you enable — for example customers, invoices, payments, items, and company information. Rasmussen Systems' use of information received from QuickBooks APIs will adhere to Intuit's API Terms, including limited use requirements.

  • We do not sell QuickBooks data or use it for advertising or model training.
  • We store QuickBooks OAuth tokens encrypted at rest and use them only to make requests you authorize.
  • You may disconnect the QuickBooks integration at any time from inside your app or from your Intuit account. On disconnection we stop syncing and delete cached QuickBooks data on request.
  • To request deletion of QuickBooks data we hold about your company, email ras.systemsolutions@gmail.com.

5. SMS / text messaging

If you or your customers opt in to SMS notifications, we send transactional messages (appointment reminders, job status, invoice links, receipts) using Twilio.

  • Opt-in. Phone numbers are collected only with explicit consent through a checkbox, keyword reply (such as START), or written agreement. Consent is never a condition of purchase.
  • Opt-out. Reply STOP to any message to unsubscribe. Reply HELP for help, or email ras.systemsolutions@gmail.com.
  • Message frequency varies by use case. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
  • No resale. Mobile opt-in data and consent will not be shared with any third parties or affiliates for marketing purposes. We share SMS data only with our messaging provider (Twilio) as needed to deliver the messages you requested.
  • Retention. Message logs are retained only as long as needed to operate the service and to comply with carrier and legal requirements.

6. Data security

We use TLS in transit, encryption at rest for credentials and tokens, role-based access controls, row-level security on the database, and audit logging. No system is perfectly secure; we cannot guarantee absolute security.

7. Data retention

We retain data for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion at any time.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise these rights, email ras.systemsolutions@gmail.com.

9. Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from children.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be posted on this page with a new "Last updated" date.
